What happens to a document.

You never move, name or sort anything. These are the six steps a document goes through on its own.

1. Arrive

Documents find their own way in

Thaw is connected once to the places your documents already land: your email, a scanner, a cloud folder, your phone. From then on they arrive on their own. Anything you forward or drop in yourself is filed the same way, and the pile you already have comes in through an import. A flat scan, a fax or a photo of a receipt on the counter is straightened, cleaned up and made readable. Mail from a sender you have not approved waits for a yes.

2. Understand

Each document worked out, once

Thaw goes through each document once, knowing the kinds of document a household or business keeps and who is already in yours. It records what the document is, a title you would use, the facts on it, who it concerns and every date it carries, and nothing that is not on the page. Anything it is not sure of is filed with a flag for a look, not held back.

3. Link

People & things, drawn from the documents

"Dana J." on a prescription and "Dana Johnson" on a lease are one person. A VIN settles the car. Each document is linked to who and what it concerns, so Home shows your household rather than a folder tree: each person, pet, vehicle and property, with what it should have on file and how much of that is there.

4. Act

Dates become plans

A term end becomes a renewal with the premium and the carrier's phone number. A lease clause becomes a notice deadline. A claim decision becomes an appeal window. Each says what happens if it is missed and what to do, and offers the call or the email: the number from the page, a draft written for you, sent from your own Gmail if you like. A bill on autopay is dated but never a to-do, and the next statement, a receipt or a confirmation in your mail closes the item before it, so most of them settle themselves.

5. Check

What is missing, before it matters

For each kind of person or thing, Thaw knows what should be on file and how often. The Checkup lists what is missing, lapsed, expired or duplicated, worst first, with where to get it. It is redone every time something arrives, and what you drop on it settles the items it answers.

6. Ask

Answers with the page they came from

Ask in plain English, from Home, from the document itself, or from Claude, ChatGPT or the editor you already use once you connect it. The answer is built only from your own documents and cites the page. When nothing on file says, it says so and names the document that would. Ask can also do things for you, and every change waits for your yes.

What Thaw is told to do with a page.

Thaw works with three things in front of it: the document, the kinds of document a household or business keeps (twelve categories and the types under them, with their fields), and your own household: the people, pets, vehicles, properties and businesses already known, with the names they go by.

It is told to record only what is on the page, to say which page every fact came from, to propose a new kind in plain words when none fits, and to flag a document for a look rather than guess. Every pass is kept, so a correction can be traced back to the pass that needed it.

Identifying numbers (Social Security, account, policy, license, VIN and confirmation numbers) are sealed so an exact search still finds them, and blanked out of the page text before it is indexed or sent for an answer. The security page has the rest.
